Our Privacy and Data Protection Policy

We respect and are committed to protecting your privacy and take very seriously our duties under the European Union’s General Data Protection Regulation (GDPR). This Privacy and Data Protection Policy lets you know how and why your personal information is collected, processed, used and protected. We promise that we will take steps to use your personal information only in ways that are compatible with this Privacy and Data Protection Policy.

What information are we collecting and how are we protecting it?

1) Pre-course MDP Development Profiler questionnaire

If your organisation has booked you on one of our courses and has requested that participants receive personal feedback on their Personal Consulting Style, you will receive a link to the MDP questionnaire used to profile your Personal Consulting Style and to give you feedback on your current style and development priorities. By completing the questionnaire you are consenting to us collecting and analysing your results for the purpose of providing you with personal developmental feedback.

From 25 May 2018 all questionnaire responses will be encrypted during the questionnaire completion process using a TLS encryption protocol. Your data will recorded on a secure web server for us to download and analyse prior to your course. Your data is dowloaded using an encrypted FTP link and analysed using special statistical software on one of 2 secure password-protected PCs running a firewall and 3 separate anti-virus, anti-malware, anti-spyware and anti-ransomeware applications running constantly in the background for added protection. Your data will be stored and analysed on one of these 2 computers ready for your training course. We hold this information on one of these computers until 8 weeks after your course to enable us to answer any post-course questions you have or to enable us to send you your results again if you mislay them. If you postpone your attendance at one of our courses we will store your questionnaire results on one of these 2 computers for use on the course you will be attending. We take regular backups of all our systems and all our data backups are encrypted. Encrypted hard drive images are stored in an off-site secure safe-custody vault in a bank and are only accessed by us for system recovery purposes in the rare event of a major system failure. These encrypted backup images are overwritten in a cycle so that no image and therefore no record of your personal questionnaire information older than 12 months will exist. We collect the following information in your pre-course questionnaire:

  • Responses to behavioural questions: we ask these as they are the basis for the psychometric analysis we use to enable us to identify your Personal Consulting Style, your strengths and your development priorities. You can choose not to complete these questions but without a complete set of responses we will not be able to prepare developmental results for you and you will not receive a Personal Consulting Style profile or behavioural measures designed to enable you to identify developmental actions to boost your personal performance
  • Your name, address, contact phone number and email address: you do not need to give us your personal address, the address of your organisation is all we need. We use this to help us identify your location which enables us to identify which course you are attending (where this is a public course) or the office location of the course you are attending where we are running several courses for one client. If you are attending a public course your organisation name and address enables us identify which course booking this questionnaire relates to and in which city the course is being run. We ask for a contact phone number in case we need to contact you urgently if there is an error in your questionnaire data or if you have not answered required behavioural questions so that we can contact you urgently before the course. Your email address will be used to send you confirmation that your questionnaire responses have been successfully stored and there are not technical errors and for some courses this will be used to send you pre-course work and course joining information. If you do not get a confirmation email following your questionnaire completion then please contact us to ensure that we have received your questionnaire responses.
  • You CAN CHOOSE NOT TO GIVE US YOUR ADDRESS or PHONE NUMBER by entering "NONE" for each item but if we are running courses at multiple locations for your organisation or if you are attending a public course there is a risk that without your work address we might not be able to determine or validate which course you are attending (as described in the previous point) and we might not be able to contact you by phone or send you an urgent text message if we discover a problem during the analysis of your questionnaire or if we need to confirm your course location if it is unclear which course you are attending.
  • Your job title, job function, industry sector, experience and responsibility for people: this information enables us to choose the appropriate comparison or "norm" group against which to benchmark your questionnaire responses during the analysis. We need this to ensure that the norm or benchmark group used during the analysis is the right one for you in order to give you meaningful results.
  • Optional answers on gender, age and nationality: these are entirely optional (you can choose not to tell us, and that is your right and privilege). By offering us this information it enables us to ensure the ongoing reliability of the psychometric measure and to ensure it does not discriminate unfairly on the basis of gender, age or nationality. This information is used solely for checking the reliability and fairness of the questionnaire and is used to check statistically that the questionnaire is psychometrically reliable and does not discriminate unfairly on gender, age or nationality.

Your questionnaire responses will not be disclosed to anyone else (they just form part of the psychometric analysis used to prepare your results). Your profiled results are confidential and we will not share your results with anyone other than yourself. Your responses will be analysed by one of our psychologists who will then help you interpret your results and plan suitable developmental action during your training course.

2) Bookings, Mailing List and Quotes

If you join our mailing list, book on a course or ask us for a quotation for an in-house course your contact information will be encrypted by this website during your completion of the online form using a TLS encryption protocol. Your data will be recorded on a secure web server for us to download using an encrypted FTP link. We store your contact details on our secure office computers to enable us to respond to your request. Where you have asked us for a quote or service we also store your computer's IP address to help us detect fraudulent communications (where a quoted physical address does not agree with the IP address used in the communication). All our office computers are password protected at 2 levels (BIOS password and operating system password), all run a firewall and 3 separate anti-virus, anti-malware, anti-spyware and anti-ransomeware applications running constantly in the background for added protection. Virus and malware signatures are updates several times per day, systems scans are done at least once per day and we regularly do security updates of operating system and application software.

We maintain a strict "No-Spam" policy which means we do not sell, rent, or otherwise give your email address or contact details to any third-party without your consent. We do not share your personal data with other parties. You can remove your name from our mailing list at any time by sending us an email and requesting that your details be removed from our mailing list (please tell us whether you currently receive our course details by email or by post). As part of good record-keeping we archive records of work we have done and quotes we have prepared which include the name and contact details of the organisation we have dealt with and the name, job title, email address and phone number of our main contact person. By law we need to keep good business records for at least 3 years and we archive business records for 5 years as part of good business management practice.

3) Using our website

Every computer connected to the internet is given a domain name and a set of numbers that serve as that computer's "Internet Protocol" (IP) address. When you request a page from our web site, our web servers automatically record your domain name and IP address. The domain name and IP address reveal nothing personal about you other than the IP address from which you have accessed our site. We use this information to examine the flow of traffic to our web site, but we do not collect and evaluate this information to tell us about you as an individual. Your IP address is only stored in situations where you have asked us to contact you to provide a quote or service (to help us detect fraudulent communications where a quoted physical address does not agree with the IP address used in the communication).

4) "Consulting Tools" App for Phones

If you buy our Consulting Tools App (which runs on Android-based phones) this app has permission to access your phone's memory because the consulting tools and checklists are stored in your phone's memory to enable you to access them. We respect your privacy and the app will not access your private or personal information or anything that you have stored on your phone. This app has permission to access the internet because it uses Google's Android Licence Verification to regularly check that the app you are using is a properly purchased (and not pirated) version. This means you will need internet access at regular intervals determined by Google (every couple of days or so, but Google varies this) to automatically verify your licence. We respect your internet privacy and nothing about your internet usage is accessed by our app and apart from the licence check no data or information is sent from our app via the internet.

Your consent and your choice

You can choose not to give us personal information. By using the services described above we need certain information in order to deliver the service for you. You can choose not to give us specific personal information as described above. If you believe we hold personal information on you please contact us and we would be very pleased to tell you what information we hold and to delete any personal information you no longer wish us to hold. Any changes to our Privacy and Data Protection Policy will be posted on this page so that you are always aware of what information we collect and how we use and protect it.
